Marketing Forms: How to Access Marketing Form Reports

Here's how to review payment and donor information collected in your NPRDS Marketing Forms, as well as download a file to import into your donor database.

NPRDS Marketing Forms Donation Export CSV

The donation export file contains all the data about your pledges, and is most commonly used to upload pledge data to your database.

Our standard file export for all data in NPRDS Marketing Forms is a CSV file. You can open a CSV file in Excel to review your data and make adjustments.

Here's an explanation of every field in order for your to review what fields you will map to your donor database.  Some fields depend on your payment gateway set-up, contact us with any question.

Accessing your Donation Export Report

1. Log into your Forms admin (e.g. /user at the end of your forms URL).


Click on the REPORTS tab and select DONATIONS or DONATIONS EXPORT (MEMSYS) if you use that database.

 

2. Filter Your Dates

You filter on date, or internal form name before exporting it as a CSV. 

Open the DATE RANGE menu and select "Equals" or "Is Between" to make one or two date selection windows appear.

Use the INTERNAL FORM NAME drop-down to limit your report to pledges from a single form.  By default the system will pull in any pledges from any form.

Use the ORDER STATUS field to select a single payment type.  Normally you can skip this step as all the status types are pre-highlighted by default.  However, it could be used to filter to just Bill Me Later payments, if needed.

NOTE: Be sure to hit the GO button and let the page reload before downloading your file. Otherwise, your file will contain all pledges without your selected filters.

Click the DOWNLOAD CSV field to generate the export of your report.
 
 

Contact Report

The contact report allows you to pull out contact information for anyone who as submitted pledges through your forms.  It is most commonly used to download a contact list to upload to an email marketing program.

The USER ID is the unique ID for every contact who donates.  You can click on a user ID here to see all of their payment information and to refund their payments.  Donor DB Account is an optional field for station admins who want to add their donor DB contact number for this user to track the user across both systems.  

Filter by OPT-IN to export a CSV of only those who have opted into your newsletter to upload to your email service provider.  

Use the PUBLISHED BETWEEN fields to search by the date range of the donor's gift.

 

Orders Report

The orders report allows you to view/search all transactions by ORDER ID.  The order ID is on the user's receipt and confirmation page.  Click on the Order ID number to view details on that pledge, or click on the PAYMENT link on the right to see details returned to us from your payment gateway for that pledge.

 

Premium Report

The premium report contains all the details about the gifts that were selected with a pledge.  It is most commonly used as a fulfillment list and contains:
  • Donor Name
  • Address
  • Pledge Order ID
  • Premium Name
  • Premium SKU
  • Premium Attributes
  • Quantity
  • Donor's email address

 

Pledge Reports

DS Marketing Forms have two real-time pledge reporting options located under the REPORTS tab in your Marketing Forms admin. 

Where to find Pledge Reports

Find the two new reports under REPORTS>> Pledge Revenue Report or Member Comments Report

Both reports are only accessible by logging into your Marketing Forms admin.  These reports are not a replacement for your donation export file. That report will always contain all fields (standard and custom/unique to your Marketing Forms) that you have included across all of your forms in order to import that data into your donor database and/or other systems.  

Instead, Pledge reports offer an hourly snapshot of specific fields that all Marketing Forms sites have as part of standard payment reporting. They have been designed to load quickly with a date/hour filter in order for a station admin to quickly see and print a summary of revenue and/or member comments during a drive.  

About Pledge Revenue Report

In this report, you can set a filter to see a revenue summary by year/month/day and hour.  The timezone is set to the same setting as the admin who is logged in.

The default view is the current day (from 12am) to the present time.  

To view full summary for select dates, select the start/end dates and leave the hour filter alone.  

To view, a summary in the last hour, set the date filter start and end date for the current day and adjust the start/end hour filter.

Click on the GO button to see a summary of all form revenue to date.  Click on the RESET button to change your filters.  You can also sort each field to see results in a different order.

In this report, you can view all successful, received payments (credit card, bill me, eft)* authorized by your Marketing Forms within date-range selected:

  • Total number of forms with received payments
  • Total number of orders (and per form)
  • Total number of one-time (lump-sum) orders
  • Total number of sustainer (recurring) orders
  • Total revenue for all forms
  • Total revenue per form
  • Total sustainer revenue (and per form)
  • Total one-time (lump-sum) revenue (and per form)

*NOTE:  Revenue is recorded as all transactions that have been successfully authorized for payment by your payment gateway from Marketing Forms.  If you are set to 'auth only' payment processing in Sage and therefore process your pending authorized payments in your donation database, the recurring/sustainer payment revenue totals will only show the first payment of your recurring donations.  If you process or refund payments outside of Marketing Forms, your Pledge Revenue report will not include these transactions in your totals in this report.
 

About the Pledge Member Comments Report

In this report, you can set a filter to print any member comments collected on your Marketing Forms by year/month/day and hour.  The timezone is set to the same setting as the admin who is logged in.

The default view is the current day (from 12am) to the present time from all active forms.  

To view full summary for select dates, select the start/end dates and leave the hour filter alone.  

To view, a summary in the last hour, set the date filter start and end date for the current day and adjust the start/end hour filter.   You can also set your filter to select comments from one or more forms.

Click on the GO button to see all comments.  Select the PRINT This button to enable a print dialog box to print all or some of your member comments.

In this report, the results will display as a card-view, rather than a typical spreadsheet view in order for your team to view and print the entire comments from a member.

In this report, you can print these fields from all successful, received payments (credit card, bill me, eft)* authorized by your Marketing Forms:

  • Donor Full Name
  • Read my name on the air:  Permission to announce a donor's name and/or comments on the air
  • Donor Comments
  • Sustainer:  If the donor selected the monthly payment amount, this field will say "YES"
  • Time of donation
  • Date of donation
  • Form Name: The form that the donor submitted the comment/payment
  • Email:  The donor's email address
  • Market Source:  If you have any source code associated with this form
  • Donation Amount:  The payment amount selected by the donor and was authorized as a single payment by your payment gateway
  • YearEndTotal:  If the donor selected monthly donation amount (recurring/sustainer), then this field will show the next expected 12 payments of the donation amount.

*NOTE:  Donation amount is recorded as the successfully authorized payment by your payment gateway from Marketing Forms.  The "YearEndTotal" fields is not the authorized or processed payment amount.  Rather, it simply calculates the next 12 expected payemnts for a donation amount if the donor has selected the monthly option (e.g. Sustainer field is YES)
